Receiving, Validated, Rejected, Retrieved: A Federal Grant Submission Status Repair Card
Direct sources. Clear status. Practical public information.
Reviewed November 4, 2026 · federal Grants.gov process. A button click, email, platform status, agency retrieval, review, selection, award, payment, and outcome are different records.
Six statuses, six meanings
| Status | What Grants.gov says | Reader-controlled check |
|---|---|---|
| Receiving | The application is processing in the queue and has not yet been received by Grants.gov. | Preserve the submission timestamp and monitor the exact workspace. |
| Received | Grants.gov has received the application; validation is pending. | Do not call it validated or agency-received. |
| Validated | Grants.gov validated the package and made it available for agency download. | Preserve the confirmation and download the submitted package when available. |
| Rejected with Errors | Grants.gov could not accept the package until errors are corrected and the package is successfully resubmitted. | Read the exact error record; preserve the rejected version; use the human Authorized Organization Representative gate before any resubmission. |
| Received by Agency | The agency confirmed receipt of the application package. | Keep agency receipt separate from review, selection, or award. |
| Agency Tracking Number Assigned | The agency assigned its internal number; this is the last status Grants.gov tracks. | Preserve both tracking numbers and follow the awarding agency’s official route. Not every agency assigns one. |
The repair card
- Opportunity number and package/version.
- Applicant legal entity and workspace.
- Observed status, timestamp, and exact system source.
- Confirmation PDF/email and tracking number.
- Downloaded submitted ZIP and attachment inventory, when the status permits it.
- Error or missing evidence, responsible human owner, deadline, and stop point.
- Next official route: Grants.gov support or the awarding agency after retrieval.
What the status does not prove
No submission status proves eligibility, completeness beyond the platform’s validation, agency review quality, selection, award, agreement execution, cash availability, allowable spending, renewal, or outcome. The exact notice of funding opportunity, agency rules, deadlines, and award terms control.
